We are looking for a dynamic Associate Director, Advancement Services to join our Development office.

As part of an integrated management team, this role provides strategic leadership in long- and short-term planning, establishing overall goals and strategies for increasing private support to the institution, and is responsible for managing the prospect and administrative infrastructure supporting all fundraising activities, including oversight of prospect research and management, database and reporting services, gift acceptance and processing, and training. The incumbent plays a key role in establishing systems and procedures to advance a comprehensive capital campaign and works with the Sr. Manager of Leadership Experiences and the Associate Director of Development, to coordinate campaign-related stages and initiatives, integrating them, as needed, with existing Carnegie programs and functions.

KEY RESPONSIBILITIES:

Prospect Research and Management:

  • Develop and implement a prospect management system, including procedures for documenting prospect activity in the donor database, as well as a system of regular prospect management meetings to encourage both accountability and information sharing among team members
  • Develop and maintain a robust and well-defined pipeline of annual, major, principal, and planned gift prospects for ongoing and special projects and priorities
  • Manage performance measurement of fundraising activities. Prepare robust suite of reports for internal, leadership and volunteer audiences. Work collaboratively with gift officers and other staff to effectively and accurately convey activity and achievements
  • Manage the identification, qualification, and in-depth, analysis-based research of high-level individual prospects for priority initiatives. Create and maintain in-depth research reports and briefings for donor and trustee prospects
  • Support the donor relations and stewardship functions in event development and production, including management of guest information and follow-up communications. Assist in the development of annual appeal concepts and content

Database and Reporting Services:

  • Ensure the integrity of the Institution’s fundraising database of record (Affinaquest, powered by Salesforce) and develop best practices for advancement data systems and processing procedures
  • Oversee timely and accurate acceptance and processing of philanthropic gifts and pledges, with associated documentation, in development database
  • Ensure that advancement team members have a working knowledge of Affinaquest/Salesforce and an awareness of other available research and information resources

Campaign Services:

  • Develop and/or refine campaign systems, policies and protocols as needed; manage the implementation and execution of existing policies. Establish campaign metrics and monitor progress on a regular basis
  • Serve as liaison campaign volunteer committees, attending meetings, preparing agendas and minutes, distributing, and coordinating volunteer assignments and assisting the Chief Development Officer in providing support for Committee members
  • Work closely with the Chief Development Officer to manage the campaign timeline and promote timely decision-making and activity in alignment with the campaign timetable

 

EDUCATION AND EXPERIENCE

  • Bachelor’s degree required
  • Minimum 7-10 years of development experience, optimally with capital campaign experience
  • Prior staff management experience required

PREFERRED QUALIFICATIONS

  • A comprehensive understanding of advancement services as a functional area
  • Facility with the Salesforce platform and related App Exchange. Experience and knowledge of Microsoft Office, including Excel, and LexisNexis, WealthEngine, Relationship Science, and/or other comparable research databases
  • Experience conducting database and peer screenings and completing in-depth prospect research on major donors and foundations
  • Experience in development database conversion projects
