Position Description:

The Carnegie Institution for Science is seeking an Environmental Health & Safety (EH&S) Manager for the Departments of Plant Biology and Global Ecology in Stanford, CA. The successful candidate will be hired as a full time employee and expected to spend about half time on the duties of EH&S Manager described below and the other half time on research and/or management in a laboratory. Carnegie is a 501c(3) non-profit organization dedicated to basic scientific research. The institution’s Departments of Plant Biology and Global Ecology are located on the campus of Stanford University and pursue research in areas ranging from understanding the impacts of global change on the world’s ecosystems to exploring the molecular mechanisms  of plants. The EH&S Manager is responsible for leading environmental health and safety initiatives to provide for the safety of campus personnel and the campus environment. The responsibilities encompass a wide array of activities aimed at implementing best practices and ensuring compliance with Federal, State, County, and Stanford University requirements. This includes:

Providing expert guidance – Advise Department Directors on best practices and applicable requirements in occupational and environmental health and safety.

CollaborationInteracting with scientific staff to facilitate science, train new arrivals in best laboratory practices, instruct in use of general laboratory equipment, and maintain the scientific infrastructure. 

Hazardous Materials Management Program – Attend all Stanford USP (University Safety Partners)  meetings, oversee the annual chemical inventory updates of all labs on Carnegie campus and update all Life Safety Boxes annually.

Regulatory Compliance with all Governmental Agencies – Primary contact for the following governmental agencies, as well as monitoring and retaining copies of all permits, certifications and licenses, including but not limited to: 

  • US ATF (Alcohol, Tobacco and Firearms) – 100% Ethanol permitting
  • Cal OSHA (Occupational Safety and Health Administration – IIPP (Injury and Illness Prevention Plan)
  • County of Santa Clara – Environmental Health Permit (compressed gases, flammable liquids, corrosives and poisons). 
  • City of Palo Alto – Wastewater management permit
  • Stanford University- Respirator Fit Test, chemical, radiological and hazardous waste disposal.

General Laboratory and Office Safety – Monthly walk-throughs and quarterly self-inspections. Correction of identified violations and follow up with appropriate personnel. Ensure a sufficient number of employees are First Aid trained and renew when required. 

Safety Training – Maintain a Safety Training program in accordance with California Title 8 provisions for all new hires and visitors, specifically tailored to cover the individual’s activities while at Carnegie. Train all new hires, maintain training documentation, and confirm re-certifications of existing personnel as required.

Hazardous Materials Safety and Storage – Monthly inspections, inventory control and document retention. 

Radiation Safety – Monthly radiations surveys with on-line reporting to EH&S. Oversee on-line and in-house training and re-certifications. Coordinate new protocol approvals. Conduct quarterly rad inspections with reporting to Stanford EH&S regarding radioisotope inventory, room inspections, GM counter tests and sealed source inventory. Facilitate the removal of solid and liquid radioactive wastes.

Biohazard Safety – Monitor the training and re-certification of personnel and the use and disposal of BSL1 materials per existing SU EH & S guidelines. 

Chemical Waste Management – Arrange for the disposal of unwanted chemicals, oversee Chemtracker inventories for both Departments. 

General Laboratory Management – Coordinate repairs and maintain annual service contracts of all major laboratory equipment that is in common use, continually investigate cost-effective alternatives, cultivate vendor relations, provide lab coat service, maintain records of training on common equipment, conduct quarterly lab manager meetings and resolve any laboratory related problems. Coordinate annual balance and pipette calibrations. Maintain common stocks such as ethanol in the warehouse, developer supplies for the film processor.

The manager also acts as the primary liaison with Stanford EH&S, County of Santa Clara, USDA and responds promptly to their inquiries and requests.

Required qualifications:

  • Excellent written and oral communication skills
  • Ability to work effectively with people from diverse backgrounds
  • Comprehensive knowledge of relevant laws, regulations, and guidelines

Preferred qualifications:

  • Master’s degree preferred but not required
  • Professional certifications in EH&S specialities (CSP, CSHM, CHMM)
  • Supervisory experience
  • A very high level of professional know-how.
  • An ability to track and stay on top of things to ensure that “nothing falls through the cracks”.
  • A constant desire to look for ways to add value and contribute more rather than wait to be assigned tasks.
